Google Business Profile is a free Google tool that lets you control how your business appears in Google Search and Google Maps. Creating a profile takes only a short form. The real work is verification, because Google's sign-up page says customers can only find your Business Profile on Google after you complete verification. According to Google's verification page, the review step alone can take up to 5 business days. A business that creates a profile and leaves verification unfinished stays invisible to the customers searching for it on Google.

In this guide I walk through creating the profile, verifying it, the guidelines Google enforces and how local ranking in Maps works, using only Google's own help pages. Along the way you will find a setup checklist you can tick off and a short test that tells you whether to show your address or use a service area. If you want to know in which order to build your profile, website and ads, the SMB digital marketing guide completes this article.

What Is Google Business Profile?

Google Business Profile is a free business listing that shows a business's name, address, hours, phone number, photos and customer reviews in Google Search and Google Maps. Google's Business Profile page states that creating a Business Profile and listing your business on Google is free. A profile is not an ad, and you don't pay per click to appear on the map or in local results. According to the same page, you can respond to customer reviews, add photos, share offers, events and business news as updates, and show the products you sell. For eligible businesses, customers can place orders, make reservations or book appointments from the profile. The performance section shows the search terms people used to find you, along with data on calls, reviews and bookings.

For a small business without a website yet, the profile may be its only storefront on Google. Still, a profile does not replace a website, and I explain why in losses of businesses without websites.

What Do You Need to Create a Google Business Profile?

To create a Google Business Profile you need a Google Account and your business's basic details. Google's sign-up page asks for the following:

  • Google Account. If you create a new account, Google recommends signing up with your business email domain.
  • Business name. The name you use in the real world. The guidelines section explains why this matters.
  • Business category. The category that describes your core business.
  • Location. Your address, if you have a place where you receive customers.
  • Service area. For businesses that visit customers, areas such as cities or postal codes.
  • Phone number and website address.

How to Create a Google Business Profile in 7 Steps

You create a Google Business Profile in seven steps from Google's profile creation page. The steps follow the order on Google's sign-up help page.

  1. Sign in to your Google Account. If you don't have one, create a new account.
  2. Enter your business name. Type the name you use in the real world on the profile creation page.
  3. Choose your category. Pick the category that best describes your business.
  4. Say whether customers can visit a location. If you have a place where you receive customers, enter the address. If you have no storefront where you receive customers, Google requires you to hide your address.
  5. Add your service areas. According to Google's page, you can add up to 20 service areas.
  6. Enter your phone number and website.
  7. Move on to verification. Verification is required before customers can find the profile.

The same page asks you to create only one Business Profile for the metropolitan area you serve. Your Google Account may be suspended if Google finds multiple profiles for the same business in the same metropolitan area.

How Do You Verify a Google Business Profile?

You verify a Google Business Profile with a method Google chooses for your business, and how long it takes depends on that method. According to Google's verification help page, verification methods are automatically determined by Google and can't be changed. The methods listed on the page are phone or text, email, live video call and mail, which is the postcard option. After you finish the steps, Google reviews your information, and the same page says these reviews take up to 5 business days, with rare cases taking longer. If you verify by mail, most codes arrive within 14 days and verification codes expire after 30 days, so enter the code as soon as the postcard arrives. In some cases Google verifies a profile instantly. The page names two such cases: you verified your website with Google Search Console, or you use bulk verification. Use the waiting time to complete your hours and photos.

These timings are Google's own estimates, not guarantees. If you fill in your services during the wait, the profile is complete on the day customers can first see it.

Verification methodHow it works according to Google's page
Phone or textA code reaches the business phone by call or text message
EmailYou follow the instructions in the email
Live video callYou join a video call with a support representative
Mail (postcard)A code is mailed to the business address, most arrive within 14 days

Google Business Profile Guidelines: Mistakes That Get Profiles Suspended

Google Business Profile guidelines require a business to appear on Google as it does in the real world, and they define the name, address, service area, hours and category fields one by one. According to Google's guidelines for representing your business, including unnecessary information in your business name isn't permitted and can lead to suspension. Marketing taglines, store codes, phone numbers and URLs are examples. Businesses that show their address on Google should keep permanent, fixed signage with the business name at that address. Post office boxes and mailboxes at remote locations aren't acceptable. A service area shouldn't extend farther than about 2 hours of driving time from where the business is based, and the sign-up page says you can add up to 20 service areas. Businesses that operate only by appointment shouldn't list hours. Categories are not keywords either, so use as few as possible to describe the core business.

Businesses that use a virtual office should take extra care. The same guidelines say a rented mailing address where the business doesn't actually operate is not eligible. An office at a co-working space can't be listed unless it has clear signage, receives customers during its hours and is staffed during those hours. In the profile description, no links of any type are allowed, and the description shouldn't focus on special promotions.

How Do You Rank Higher in Google Maps?

To rank higher in Google Maps you strengthen your profile on relevance, distance and prominence, the three factors behind local ranking, and paying does not change that order.

Three factors decide rankings in Google Maps and local results: relevance, distance and prominence. Google's local ranking help page defines them this way. Relevance is how well a Business Profile matches what someone is searching for. Distance is how far each business is from the person searching. Prominence is how well known a business is. The same page states plainly that there's no way to request or pay for a better local ranking on Google. What you can influence are the steps Google recommends: verify your business, keep information such as your address, hours and special hours up to date, respond to reviews, and add photos and videos. Retail businesses can also add in-store products, although the page says this is available only in eligible countries or regions. You can't change distance, but relevance and prominence respond to your work. Because payment has no effect on ranking, an ad budget can't replace these three factors.

The profile is the Google Maps side of local SEO. Your website and its visibility in search results are the other half. I cover when to bring in outside help for search engine optimization in the SEO consultant guide.

Google Maps Ads vs. Google Business Profile

The difference between advertising on Google Maps and a Google Business Profile is cost: the profile is a free listing, while ads run through Google Ads with a budget. The profile lets you appear organically in local results, and the three factors above decide its position. Ads are shown through a campaign set up in a Google Ads account. According to Google's local ranking page, paying does not change your organic local ranking.

You can see what drives advertising costs in the Google Ads pricing guide. My advice is about order. Verify and complete the free profile first, then open an ad budget.

Quick check: Is your profile verified, are your hours current, did you reply to the latest review? If any of the three is missing, fix it before you spend on ads.

Frequently Asked Questions

Is Google Business Profile free?

Yes, Google Business Profile is free. Google's Business Profile page says that creating a Business Profile and listing your business on Google is free. Google Ads is the paid product, and it is set up in a separate account. Local ranking can't be bought either, as Google states on its help page.

How do I add my business to Google Maps?

To add your business to Google Maps, you create a Google Business Profile. On the profile creation page you enter your business name, category, your address or service area, phone number and website. You then verify the business with the method Google offers, because customers can only find the profile after verification.

How long does Google Business Profile verification take?

According to Google's verification page, verification reviews take up to 5 business days and in rare cases longer. With postcard verification, most codes arrive within 14 days and codes expire after 30 days. If you verified your website with Search Console or use bulk verification, the profile is sometimes verified instantly.

Can I create a Google Business Profile without showing my address?

Yes, if you don't receive customers at your own address. Google's sign-up page says a business without a storefront where it receives customers must hide its address. These businesses register as service area businesses and can add up to 20 service areas. The guidelines say the area shouldn't extend beyond about 2 hours of driving time.

Can I use a virtual office address for Google Business Profile?

According to Google's guidelines, a rented mailing address where the business doesn't actually operate is not eligible. An office at a co-working space also can't be listed unless it has clear signage, receives customers and is staffed during its hours. In that case, hide the address and use the service area option.

Your Next Step

Your next step with Google Business Profile is to create the profile, finish verification and then keep the information complete. The order is clear: account, business name, category, location or service area, contact details and verification. The most critical link is verification, because customers can only find the profile after it. Once the profile is visible, relevance, distance and prominence decide local ranking.
